The problem

Tracking PTO in a spreadsheet breaks down fast

When time off lives in email threads and a shared sheet, balances drift out of date and two people book the same week without anyone noticing. Managers approve requests they can barely remember, and employees never quite trust their numbers.

Accruals make it worse. Hand-calculating how many days each person has earned every month is tedious and error prone, and a single mistake can cost you a difficult conversation at review time.

  • No more double-booked vacation weeks
  • Accurate balances employees actually trust
  • Hours saved every month on manual math
  • Coverage planning that is simple and visual

Automatic accruals

Set your accrual rules once and balances grow on schedule, so nobody has to do the monthly math by hand.

LeaveLedgr came out of my own frustration with a color-coded spreadsheet that nobody trusted. I wanted time off to feel effortless for staff and honest for managers, with numbers everyone can rely on.

FAQ

Questions, answered

Can we track different accrual rules by role?

Yes. On the Business plan you can set custom policies so full-time and part-time staff accrue at different rates.

Do employees see their balances?

Yes. Every employee can check accrued, used, and remaining days at any time without asking a manager.

Can managers see conflicts before approving?

The shared calendar shows who is already off during the requested dates so managers can avoid coverage gaps.

Does it handle carryover at year-end?

Yes. You set how many days carry into the new year, and balances roll over automatically based on your rule.

Is there a payroll integration?

Not yet, and that is an honest limitation. You can export balances and requests to share with your payroll provider.

Can we track unpaid leave too?

Yes. Unpaid leave is a supported type, so you can keep a complete record even when no balance is deducted.
